Budget/release was changed - rebuild availability control

Hi,

i'm working on PS module on a project and once i'm trying to copy my budget using IMCCP3 transaction, i've got the following warning:

Message no. AP_COPY010

Diagnosis

Automatic budget adjustments were carried out for measures (orders or WBS elements), or budget releases of WBS elements were automatically changed.

However, there was no automatic adjustment to the data of the availability control.

This is the case, even if activation type 1 (automatic activation during budget allocation) is set for availability control in the budget profile of the measure.

Procedure

Rebuild the data of the availability control for the measures that were processed, if necessary. To do so, you can use transaction CJBN (WBS elements) or transaction KO31 (orders).

The availability control has the be activated manualy , and my purpose is to get it activated automaticaly once I copy my budget.

Is there any clue why I've got this warning or how can I fix it ; to get the availability control activated with the copy budget transaction?

Hi,

Reference to SAP Note:http://service.sap.com/sap/support/notes/1245966

Copied from the Note for Quick reference:

     "Transactions for mass changes of budgets do not activate the availability
     control. In particular, this affects transactions IMCOC3, IMCOC4, IMCCP3,
     IMCCP4, IMCRC3, IMCRC4, IMPBA3 and IMPBA4."

Solution:

  • Set up a batch job to activate the Availability control daily. Preferably when the Business transactions on WBS are lowest. (Program Name: BPINDX00). This is required if the manual AVAC activation is not expected. Bear in mind till the time the batch job activates AVAC, budgetory control will not be in place.

Hi Ismael,

You need to run the CJBN for the projects for which you have run the IMCCP3 for copying the plan values to Budgets.

Refer to SAP note 1245966 it clearly mentions that mass updates of Budgets will not activate AVAC.

This is standard SAP system behaviour. As it is also clearly mentioned in the log when you have run the transaction..

Is there some other transaction to automaticaly copy the budget from the ECP, that can replace IMCCP3 and who activates the availability control?

Hi Ismael,

Running a batch job  for CJBN is the best way forward, as per the note all the mass update t-codes for Budgeting will not activate the AVAC.

Schedule it to run every hour or in the evening after  business hours to activate the AVAC once IMCCP3 is completed.

Else you can write a SOP for the users to run CJBN for their projects once they have done the copying of plan cost..

Hi,

I would add a step further:

  • Set up budget profile to activate the AVAC on Release.
  • Add CJ32 as a mandatory transaction in day to day operations.

Your Budget Profile , does it have activation type 1 ?

Yes, I've already set it up to 1. As the message say:

I checked the scenario .

After running CJEn or just running transaction cj30 and  saving it will activate avac.

From IMCCP3 it will issue warning only to actiavate manually.

Well actualy, the point is to get the availability control activated right after IMCCP3 execution as we are using Easy Cost planning. So why should I go through CJ30 to manualy allocate my budget , if IMCCP3 already does?

Just check once if you have maintained Budget Tolerance limit for Budget profile...

Hi,

sorry for the late answer,

The system status is actualy with budget but without availability control ON. That's the system status state after executing the IMCCP3 Tcode to copy the budget from ECP.

I've maintained the tolerance limit budget associated to the budget profile to:

-80% : with warning message (1)

-100%: Error message (3)
