Why SAP In-House Cash?

• The SAP In-House Cash application allows diversified companies to optimize their intra-
group payment transactions by establishing an in-house bank. An In-House Cash Center is
a virtual bank within the corporate group, with which each affiliated company having one ore
more accounts. For the affiliated companies, the In-House Cash Center is just another
house bank, which they use primarily to process payables and receivables involving other
group companies.
• The In-House Cash Center is used to process all payments between company units, thus
keeping cash resources within the group and optimizing how they are applied. This saves on
the costs of external netting services and gives you greater flexibility when you process
payment netting transactions.
• The SAP In-House Cash component allows companies with a diversified organizational
structure to minimize the actual flow of cash and therefore reduce bank charges, interest
expenses and losses resulting from delays in value-dating payments. It also helps to avoid
many of the disadvantages associated with external clearing solutions, such as inflexible
procedures with fixed dates and extra costs resulting from manual post processing. By
managing accounts centrally, you can assure your company's ability to pay, optimize credit
management, minimize interest expenses, and maximize interest revenues.
• All incoming and outgoing payments with external entities are processed through the In
house cash center of the parent company. The In-House Cash Center is used to manage all
payments between company units and thus keeping cash resources within the group and
optimizing how they are applied.

What is the Payment Medium Workbench?

The PMW is used to create payment media.


• The user is presented with a generic payment medium program for all payment
medium formats for which variants have to be defined in Customizing. The user
can decide on the layout of the note to payee, and select differing notes to payee
according to origin (vendors, customers, personnel, travel expenses, Treasury,
online payments and so on).
• The developer, consultant and system administrator have simple tools for
changing without modification formats delivered or for setting up new formats. This
integrates the existing development tools (ABAP Dictionary, Function Builder, ...)
and also the DME Engine that make the PMW into a workbench.

How do you activate the PMW?

• A payment method becomes a PMW payment method in only four steps:


• 1. First the payment medium format is assigned to the payment method once
you have established that you want to use the PMW. You may also need to add a
format supplement.
• 2. A note to payee is then assigned to the payment method for each origin. You
can use the examples supplied by SAP for this, for example note to payee
SAMPLE 02 for FI-AP and FI-AR, and SAMPLE 00 for all others (leave origin
empty).
• 3. In the payment method per company code you define the form delivered by
SAP for the accompanying sheet (under additional form).
• 4. Finally, you have to create and assign selection variants.

Note to payee

Definition
• A note to payee is a field on a data medium containing information on paid line
items relevant for the business partner.
• Number and length of the note to payee fields are defined in the payment medium
format, whilst the content itself is defined in the note to payee.
Use
SAP provides predefined notes to payee that you can adapt for your own formats.
Notes to payee are structured according to the following methods:
• With Customizing in SAP Script format
• With a function module
• With a combination of Customizing and function module.
To adapt a note to payee, in Customizing for Financial Accounting, choose Accounts
Receivable and Accounts Payable ® Business Transactions ® Outgoing Payments
® Automatic Outgoing Payments ® Payment Media ® Make Settings for Payment
Medium Formats from Payment Medium Workbench ® Adjust Note to Payee.

Structure
The note to payee consists of a maximum of 6 different line types:
1. Main note to payee for description of the payment, for example with the
payment of invoices in the lines there is the invoice number, the invoice date,
and/or the invoice amount.
2. Internal short reference for your company for identification of the transaction in
case of failed payment. This could be the number of the payment document,
for example.
3. External short reference for your business partner, a contract/customer
number, for example.
4. Payment advice note that replaces the lines of type 1 where there is not
sufficient space available.
5. and 6. See Alternative Payer, Alternative Payee.
Integration
• The note to payee is independent of format, a separate entity that exists
alongside the formats. You can assign the note to payee to a format via the
payment method and the origin. You can assign a note to payee to several
formats, thus minimizing the effort involved.

Communication technology:

The system uses Application Link Enabling (ALE) and RFC functions to link
the systems of the participating affiliated companies with the In-House Cash
Center.
Below are the different types of IDOC message types being used for In-
House Cash Application:
PAYEXT (basic type: PEXR2002) for transferring payment information from
the affiliated companies to the In-House Cash Center.
DIRDEB (basic type: PEXR2002) for transferring direct debit information
from the affiliated companies to the In-House Cash Center or between
different bank areas.
FINSTA (basic type: FINSTA01) for passing on the relevant bank statement
data from the In-House Cash Center to the individual subsidiaries. Settings
needs to be done for Electronic bank statement format.

Periodic tasks

Below are some of the important periodic tasks performed:


Cash concentration:
You can use the cash concentration function to clear and fill up account balances
for accounts in a defined account hierarchy in one currency You can specify, for
example, that an account should always have a certain minimum balance, or that
the remaining credit balance should be transferred to a different account (such as
a deposit account) at the end of each month.
Account balancing:
The periodic tasks also include balancing the accounts for period-end closing.
These settings include the time periods for account balancing, the account
balancing frequency (daily, weekly, monthly), key dates, and the next date.
Interest and charges for the accounts due to be balanced are calculated and
posted on the basis of the conditions that have been defined.
Balance sheet preparation:
This function groups the turnovers from the (closed) accounts in preparation for
the transfer to the G/L payables and receivables accounts at the head office.
Transfer to the general ledger:
After the balance sheet preparation run, the data is transferred automatically to
the general ledger and posted to the FI accounts.

Sometimes we see Current accounts are blocked when system generates the bank
statements. SAP recommends to use function module BKK_PA_PROCESS_DESTRUCTOR
to remove the blocks.
